User Experience

The system retains individual user preferences making it easy for a user to book their favourite resources.

For occasions when the user needs to book something a little different, the powerful availability search allows users to specify the type of resources, the duration for which they are required and any date constraints. Resources meeting the search criteria are then summarised on a graphical view and the user can drill down to book .

Book via Outlook

All of Workspace Manager features may be accessed directly from your desktop using MS Outlook. This enables you to ascertain your colleagues' availability, send them an invitation, and at the same time reserve your meeting room, order refreshments and notify reception of any external visitors.

Self Service Kiosks

kioskAs well as the Check In / Check Out facilities, Self Service Kiosks may also be used to make a booking either for Today or Tomorrow, where users will be allowed to select the resources they require using an interactive floor plan.

These kiosks may also be used to locate a colleague and book an adjacent desk.

Kiosk users may be identified using an RFID Card, or by logging on using their Windows Account or Booking Reference.

Mobile Devices

mobilephonesWorkspace Manager is accessible from any mobile device which supports a web browser. Using simplified interface users may book a resource, locate a colleague, and check in or check out of their reservation.

Check In / Check Out

hid_card_proxcard_plusIn order to gain accurate utilisation data it is essential to enforce a Check In / Check Out process. Within Workspace Manager there are many ways of achieving this and quite often more than one method should be made available to the users. These typically include;

  • Self Service Kiosks
  • Interactive Meeting Room Display Panels
  • Integration with Access Control systems
  • Using a Telephony Handset

If you chose to take a more relaxed approach to “Check In” then the system does support “check in” via the Web or any Mobile Device.

VOIP Telephony Integration

VoipWorkspace Manager integrates with CISCO Call Manager to enable telephony handsets to be seamlessly activated when a user checks in. The CISCO handset may also be used as a check-in device, only allowing the handset to be logged on if that user has a valid reservation.

Whereas Workspace Manager is accredited for use with CISCO Call Integration this functionality may be easily configured to work with your chosen VOIP provider.

Business Rules

Bookings may be enforced by definable booking rules which may be specific to Locations, Resources, User Groups or Users. These rules may be mandatory, advisable or indeed questionable allowing the user to decide whether they continue with the booking.

Email Notifications

Email notifications may be triggered on any specified event. These templates are user definable and may be plain text or html format. Typical uses of this may be booking confirmations and cancellations. These email notifications may also be used as meeting invitations, so that, if accepted, will place an entry on participant’s personal calendars.

Reporting

Workspace Manager is integrated with Crystal Reports, but equally any SQL based report writer may be used. In our experience, reports are very personal to the organisation, and as such WSM is delivered with a suite of example reports that may quickly be modified to meet the need of an organisation.

Typical reports include;

  • Utilisation Reports
  • No Show Reports
  • Billing / Cross Charge Reports

Scalable Deployment

Workspace Manager has been thoughtfully designed to be equally suitable for use within a small organisation or deployed on a global basis. Regional variations such as Time Zones, Languages and Branding may be applied at Database, Location or User Levels providing ultimate flexibility.

IT Environment / Global Deployment

Workspace Manager has been designed to meet the very differing needs of both departmental and global deployments. Whilst Workspace Manager is easy to configure and deploy, it does have the capability to support an unlimited number of users, locations and resources.

Workspace Manager supports multiple language tables within a single database, with the required language being specified at user profile level.
